# Service Contractors and Vendors

## Summary

How to ensure service contractors and vendors meet EHS safety requirements and review EHS qualified vendors.

## Who is this for?

- Building and operations management.
- Harvard construction project managers.
- Lab and research staff who work with waste management vendors.
- Service contractors and vendors.

## Managing service contractors and vendors

Service contractors and vendors must work safely and follow regulations and policies to protect themselves and Harvard.

Building and operations managers and staff should conduct periodic visual inspections of their contractors’ work.

The [Service Contractor Safety Guide](/resource/service-contractor-safety-guide "Service Contractor Safety Guide") describes Harvard’s expectations for service contractors. Reference the guide in contracts and service agreements.

## EHS qualified vendors

EHS works with school procurement departments to establish university-wide master services agreements (MSA) for vendors providing EHS-related services to multiple Harvard groups, including:

- Asbestos abatement, disposal, monitoring, and sampling.
- EHS consulting and analytical, sampling, and Licensed Site Professional services.
- Regulated waste disposal.
- Wastewater compliance.

Review these qualified and recommended vendors when selecting EHS-related service providers.

### Requesting new qualified vendors

To request a new EHS qualified vendor:

1. In most cases, the vendor needs a Harvard sponsor to demonstrate a successful work history at Harvard or to provide a specialty service.
2. The vendor submits their qualifications based on their services, such as:
    - Accident rates or experience modification rates.
    - Compliance history.
    - Corporate governance.
    - Insurance rates.
    - Preferred pricing.
3. Procurement, the vendor, EHS, and other affected groups work together to assess service needs.
4. Once qualified, the vendor works with procurement and EHS to establish an MSA, which replaces contracts for similar services with other schools unless otherwise specified.
